7.5 Steps for ICS |
Initial Child Protection Case Conference
- Click on Update Meeting Date and Scheduling and enter date of meeting.
- Click on Add Attendee - This will fetch a list of workers involved in the case and the family members put a tick in the box by the side of the person you wish to invite.
- Click on the radio button under invited and put the method of communication for the invite.
- The worker needs to do this for everybody they have invited to the meeting.
- The worker then needs to enter whether the worker, agency or family member will be attending by selecting Yes or No radial button.
Writing The Pre Meeting Report
- Click into the Initial Child Protection Conference report.
- The worker can select to copy information from previous assessments / reports into this report by clicking which of the assessments / reports they want to copy.
- Once you have selected which reports / assessments you would like to copy forward from click on 'Copy forward selected'. Alternatively a worker can start a blank report by clicking on 'start blank'.
- A worker can save the form by clicking on 'Save Changes' if they need to come back to it. When the report is completed the worker clicks on 'Finalise Report'
- Once the report has been finalised it sends the report to the workers manager so that they can approve or reject the report.
- Once a manager has authorised the report it can not be amended. If a mistake has been made and the report has been finalised, CCRST will need to be contacted to 'rollback' the report to the authorisation stage so that the manager can reject the report to enable the worker to make amendments.
Completing the Child Protection Outcomes and Minutes
- The Chair of the meeting from the Child Protection Unit then needs to complete the 'outcome form'
- If the child is to be made subject to a Child Protection Plan, the CPU will create the outline of the Child Protection plan.
- Once the CPU have 'completed the outcomes' form and the written the minutes of the meetings, the worker gets a task in their work tray to 'complete the meeting'
- The worker clicks on 'complete meeting'
- The final task is to click on 'close meeting process, all tasks are completed'
- On the pathway map the Initial Case Conference meeting will now be grey and the Child Protection Review orange.
- The worker in their work tray will have tasks for

Organising a Core Group
- The allocated worker picks up the task from their work tray
- The worker clicks on 'update meeting details and scheduling'
- The worker needs to set the date of the meeting by clicking the calendar to set the date. The worker then clicks update.
- The worker then needs to invite the attendees to the meeting by clicking on 'add attendee'. This is done by following the process in ICPC guide.
Completing the Meeting Minutes
- Once the meeting has been completed the worker then needs to complete the minutes of the meeting. The worker has the option to copy forward information from previous reports / meetings. Put a tick in the box of the information you wish to copy and then click copy forward selected. Alternatively the worker may like to start the form blank
- The worker then completes the meeting notes. Once the report is finalised it goes to the workers manager for them to check the details and then they can either 'reject' or 'approve' the report. If the report is rejected it is returned to the worker for their amendments. Once the report is approved no further changes can be made. If a mistake is then noticed the worker will need to contact CCRST to ask for a roll back.
- The final stage is to click on 'close meeting process, all tasks are completed.'
- Once the Core Group has been completed the worker will receive the task to update the Child Protection Plan.
Updating Child Protection Plan
- The worker picks up the task from their work tray
- The worker needs to click into update part one, once the worker has finalised the record they need to complete part 2.
- The worker has the option to amend any details in part 1 and 2 or they can send the plan to their manager for authorisation.
- Once the manager has authorised the plan the task is returned to the allocated worker.
